Frequently Asked Questions: Shared Spaces & Daily Etiquette
-
Remember, we are all working with a smaller space, so please limit your personal items appropriately. All items must fit in the space provided for you and, remember, everything can be seen by others. If there is something you would like to have in a common space, ask your Senior Director if that would be appropriate.
-
We have been supplied with two orange recycling bins located in the freight elevator area. One of the bins is designated for soda cans, plastic bottles, soup cans and glass, and the other bin is designated for paper products and cardboard – both are clearly marked for your convenience. Please do not mix wet garbage with recyclable materials as this will contaminate the recyclable material and preclude it from being recycled. We also ask that you please rinse out any recyclables that may contain any form of liquid besides water. The recyclable materials are removed from our floor by the janitorial company on an as needed basis. Special pick-up can be arranged for large quantities of cardboard.
If you need to dispose of trash of a greater volume than your trash can, you can place it by the freight elevator labeled TBS. -
With so many people in a smaller space, the noise level could rise easily. Please:
•Place your desk phone’s ringer on a low setting, where you can hear it but it is not disruptive.
•Be mindful of those working around you as you have conversations with colleagues. You may need to take a few steps into a common area or find a small conference room for the conversation. Also be aware that if you are discussing something private and confidential, there are conference rooms available to maintain privacy.
-
Our floor is climate controlled (at 70 degrees) from 7:30 am to 6 pm during the week and (at a lower temperature) from 8 am to Noon on weekends.
Personal space heaters are not permitted in the office. They place a heavy load on the electrical system and can easily trip breakers, impacting neighboring workstations and shared areas.
-
Some employees are very sensitive or have allergies to strong smells. Please don’t wear heavy perfumes or colognes. Also, be aware of strong food smells when using the microwave or eating in the common space.
-
View this document for the list of available meeting spaces and how to book them. Book rooms using the Outlook Calendar Room List in the calendar invite.
For meetings at One Seagate with outside guests, complete the meeting form.
In the event that you book a meeting at Rosary Cathedral, refer to this parking map.
-
Since there are fewer restrooms than we are used to, let the front desk know if there are any issues so we can get them fixed quickly.
-
You have several options on where to have your meal, you can eat at our café, an open meeting room, downstairs in the service level, outside (in good weather), or at your desk. However, please don’t store open food items in your desk
-
The shared kitchens and break areas should be kept clean of trash, debris and dirty dishes. Please wash any dishes immediately after use as well as any mess made in the microwave, refrigerator or countertops.
The refrigerator will be cleaned out every Friday of everything except condiments, so please take home anything from the week or risk losing your food and precious plastic containers! Also, please label your items so there is no confusion over who that yummy snack belongs to.
-
If you are expecting any outside guests for visits or for a meeting:
Send them these instructions.
Complete the Smartsheet form for any meetings that include outside guests. This form should be completed at least 24 hours before your meeting when possible. Rochelle will use this information to let the lobby security desk know who to expect and where to send them.
3. Ask your Senior Director if you can validate the guests parking stub. Valet parking will not be covered unless approved by the Senior Director for a legitimate need.
If a visitor has expressed that they need special assistance, please let Rochelle know so we can accommodate to the best of our ability.
If you would like to show your family our new space, please work with your Senior Director on the timing as it is probably most convenient at the end of the day.
If you order lunch, you can choose to either have your food held at the front desk in the lobby or the front desk can let the delivery person up to our floor. Make sure when ordering your food you specify we are on the 23rd floor.
-
Please wear your identification at all times while in the building. It helps people get to know you!
Lost badges should be reported immediately so that they may be deactivated for security purposes. If your badge is lost, check in at lobby desk where you will be issued a visitor badge for the day. Employees may be charged a $25 fee for a replacement badge. Questions on this should be directed to Meghan Reed.
-
The freight elevator is available for use (located in the back of the building) to bring up any items larger than a collapsable wagon. We also have a dedicated storage “cage” on the 2nd floor. If you need to get things in or out, please ask your Senior Director to give you card access and Rochelle at reception has the key.
While you can enter the stairwells; they are locked from the outside so you will not be able to exit. They are for emergency access only.
